01Getting Your Assets Ready
Bring what you have. We'll help with the rest.
You don't need a perfectly organised production system before working with VeeDee. We'll assess your existing materials and help identify what's needed.
What helps us get started:
Creative assets
After Effects projects, templates, logos, brand guidelines, images, videos, and existing campaign materials.
Approved copy
Headlines, calls to action, disclaimers, and other text that will appear in your assets.
Campaign data
Excel, Google Sheets, or CSV files containing the information needed to personalise each asset.
Languages and markets
Target languages, approved translations, regional variations, and market-specific requirements.
Output requirements
Platforms, aspect ratios, dimensions, durations, and file formats.
Creative direction
Campaign objectives, references, examples, and any brand or legal requirements we should follow.
Starting from scratch? Our creative team can develop the designs or collaborate with your in-house team or agency.
A few do's and don'ts
Do
- Share the latest approved versions of your assets and guidelines.
- Keep copy and campaign data clearly labelled.
- Identify mandatory wording, visual restrictions, and regional requirements.
- Flag unusual variations or special cases before production begins.
Try to avoid
- Sending outdated and approved designs without identifying which version to use.
- Leaving required copy, translations, or campaign data incomplete.
- Changing approved creative elements without discussing the impact.
- Assuming platform requirements or personalisation rules are obvious without including them in the brief.
Our promise: We'll review your materials and identify missing pieces before they become production problems.
02Common Issues & How We Fix Them
Even a well-planned campaign can have unexpected twists. That's why we test before scaling.
Missing assets or fonts
A logo, image, font, or linked file is missing or doesn't match the approved design.
How we help: We'll identify the missing item and work with you to obtain the correct asset or agree on an alternative.
Copy doesn't fit
A translation or personalised text field is longer than the original and no longer fits the design.
How we help: We'll identify the affected text and agree on a solution, such as adjusting the layout, adapting the copy, or setting character limits.
Incomplete or inconsistent data
A spreadsheet contains missing fields, inconsistent naming, or unexpected values.
How we help: We'll identify the affected entries and arrange the necessary corrections or clarifications before proceeding.
Incorrect format or specifications
An asset has the wrong dimensions, duration, file format, or platform requirements.
How we help: We'll check the agreed specifications and adjust the production setup.
Last-minute changes
Copy, designs, translations, or campaign requirements change after approval.
How we help: We'll assess the impact on scope, timing, and cost, then agree on the best way forward before proceeding.
The goal isn't just to fix problems. It's to catch as many as possible before they multiply across your campaign.
03Revisions, Corrections & Quality Assurance
Your campaign should be right. Let's make sure it gets there.
Our process includes sample reviews, approval checkpoints, and quality assurance to help keep your assets consistent with the agreed brief.
Production errors — corrected at no extra cost
If VeeDee introduces an error or misses an agreed requirement in a delivered video, we'll provide a corrected re-render at no additional cost.
Creative rework — up to 30% of campaign videos
We provide complimentary rework covering up to 30% of the campaign's videos when changes are communicated within the agreed review window.
This allowance covers changes to the existing approved design using the elements already supplied. It is intended for adjustments to the current creative, not an entirely new design or production concept.
New creative direction — a new project
If you need a completely new design with new assets, creative logic, or automation, we'll treat it as a new project. This requires a revised scope, schedule, and production plan.
Urgent changes — handled transparently
Sometimes a campaign needs to move faster than planned. Where feasible, we can mobilise additional team resources to accelerate production.
- Client-requested urgency: An additional 30% charge applies when an urgent turnaround is required because of a client-requested change or new requirement.
- VeeDee-caused urgency: If acceleration is necessary because of our own mistake, the applicable urgent-work charge will be reduced by 30%.
Any urgent schedule and applicable fee adjustment will be discussed and agreed upon before the additional work begins.
Help us help you
When reviewing samples or delivered assets:
- Be specific about what needs changing.
- Identify the affected video, language, format, or variation.
- Explain the desired outcome and share a reference when useful.
- Consolidate feedback from your team wherever possible.
- Submit feedback within your agreed review window.
We'll help distinguish production errors from creative changes and recommend the most efficient solution.
04Production Timelines & Delivery
Clear milestones. Timelines built around your campaign.
Every campaign has its own rhythm. A simple copy adaptation is very different from a complex, multilingual production with custom logic and thousands of variations.
We don't rely on generic turnaround promises. We establish a realistic delivery estimate based on your requirements and actual production performance.
Your production journey
-
Step 1: Brief & preparation
We review your creative, campaign data, specifications, and deliverables, then identify anything needed to get started.
-
Step 2: Template development
We create or adapt the templates for your required formats and build the automation around your campaign variables.
-
Step 3: Testing & approval
We prepare sample assets, test the required languages and variations, and refine the setup with your feedback.
-
Step 4: Batch rendering & quality checks
Once the required approvals are in place, we begin full production. We estimate rendering performance from the initial batch and use that information to plan the remaining production schedule.
-
Step 5: Delivery & handover
Your finished assets are organised and shared through Livid, preferably, or Frame.io when appropriate. You can review, flag issues, and download your assets for publishing.
What determines your delivery date?
- The complexity of the animation, design, and production logic.
- The number of assets, languages, formats, and personalisation variations.
- The readiness of your creative materials and campaign data.
- The time needed for reviews, approvals, and corrections.
- Any changes to the agreed scope during production.
- The production resources required to meet your deadline.
Our automated pipeline can operate around the clock. For suitable projects, we can also activate additional render-farm capacity to accelerate production and previews.
For example, we've delivered approximately 30,000 broadcast assets involving animated backgrounds, dynamic text, production logic, and seven languages in under 21 days of rendering and production, following 14 days of preparation. This demonstrates what the right pipeline can achieve — not a guaranteed turnaround for every project.
Planning ahead pays off
For best results, we recommend planning campaigns at least three months ahead.
Short-notice campaigns
Review windows are agreed around the campaign schedule, with a maximum of six weeks for the applicable review period.
Annual and seasonal campaigns
For campaigns such as Christmas or Halloween, starting early in the year allows more time for creative development, localisation, testing, and refinement.
Depending on the project, review windows can span 8–12 weeks, with final reviews and required changes scheduled to finish approximately 6–8 weeks before the campaign deadline.
Your project schedule will confirm the applicable review window, approval milestones, and final delivery date.
If priorities change, we'll talk. Where a faster turnaround is feasible, we'll explain the options, resource requirements, and any additional charges before proceeding.
